Privacy Policy

Last updated: 22 July 2026

1. Who are we?

Spine HQ is a software studio based in the Netherlands. We are responsible for processing personal data as described in this policy. You can reach us at hello@spinehq.co.

2. What data do we collect?

Through our contact form we collect the following, only when you enter it yourself:

  • Name and email address
  • Company name (optional)
  • The content of your message
  • Which service you're looking for and which language you use the site in

The form also records technical data to filter spam: your IP address, your browser (user agent), and the page you submitted the form from.

3. Who processes your data?

The contact form runs on Form Frankie. That's a registered trade name of Spine HQ, so your message stays within the same company (KVK 82037906). We do rely on a small number of suppliers to host, send and protect it:

  • Railway — hosting and the database your message is stored in
  • Resend — delivers the notification to our inbox
  • Sentry — error reporting, so we notice when something breaks
  • Cloudflare — hosts this site and protects it from abuse; it sees your IP address in the process

All four process your data in the EU and are bound by a data processing agreement. Cloudflare uses a global network of servers, covered by Standard Contractual Clauses. We never sell your data on. You can read more about Form Frankie in its privacy policy.

4. What do we use your data for?

Only to reply to your message. We don't use your data for marketing without your explicit consent, and we never sell it on.

5. How long do we keep your data?

No longer than necessary. We clear out contact messages periodically once they're no longer relevant and there's no ongoing business relationship. Want yours removed now? Email us and it's gone the same day.

6. Cookies and tracking

This site sets no cookies. No tracking, no Google Analytics, no external analytics services. That's also why you see no cookie banner: there is nothing to accept. Cloudflare may set a strictly necessary security cookie if it detects suspicious traffic.

7. Your rights

You have the right to:

  • Access your data
  • Have incorrect data corrected
  • Have your data deleted
  • Object to the processing

Email us to do any of that: hello@spinehq.co.

8. Security

We take appropriate technical and organisational measures to protect your data against unauthorised access, loss or misuse.
